Minimize exposure before encryption
Encryption protects selected files at rest; it does not remove duplicate scans, embedded comments, sync copies, temporary exports or metadata already disclosed elsewhere. Clean a controlled duplicate and preserve the accountable source.
Before sharing with patent counsel, an inventor creates a review copy, removes unrelated data and duplicate scans, inspects document properties, checks linked files, and compares the cleaned set against the source register.
Run the control in five steps
- 01Freeze the identified source set and create a controlled review copy.
- 02Find duplicates, temporary exports, hidden comments and embedded objects.
- 03Remove unrelated personal data and obsolete administrative material.
- 04Check cloud sync, email attachments and local staging folders.
- 05Compare counts and hashes; record every approved exclusion.
Preserve the decision trail
Record source item, working-copy item, action, reason, reviewer, before/after hash where useful, residue location and approval.
Stop and investigate when
- Cleanup is occurring on the only source copy.
- A linked or embedded file has not been reviewed.
- Deletion is assumed to sanitize every device and backup.
State what encryption does not prove
Does not replace provider permissions, guaranteed backup, password recovery or enterprise identity management. It also does not determine inventorship, patentability, filing priority, evidentiary weight or disclosure authority. Obtain appropriate counsel.
Invention notebook security questions
Why clean before encryption?
